Most warranty pages read like legal disclaimers. This one looks at real return traffic across a twelve month refurbished PC and laptop warranty: what fails, how often, and how long buyers wait between raising a claim and having a working machine back on the desk.

The claim rate in plain numbers

Across a rolling twelve month cohort of refurbished business hardware (Dell OptiPlex 5060 to 7080, HP EliteDesk 800 G4 to G6, ThinkCentre M720q to M920q, ThinkPad T480 to T14 Gen 2, EliteBook 840 G6 to G8, Latitude 5400 to 5420), the warranty claim rate sits between 4.2 and 6.8 percent. That is one machine in seventeen at the low end, one in fifteen at the high end.

The band moves with fleet age. Three to four year old ex lease stock settles near 4.5 percent; five to seven year old stock creeps toward 6.5 percent. Buyers of the older tier get a lower price and a slightly higher claim chance, a fair trade if the process behind the claim is quick.

What actually fails

Six categories account for roughly 95 percent of warranty traffic.

SSDs are the single largest bucket at 38 to 44 percent. Most are OEM drives (Samsung PM871, PM881, PM9A1, SK Hynix BC711, WD SN530) that report healthy SMART on dispatch but throw uncorrectable errors within two to five months.

Motherboard faults sit at 12 to 16 percent, symptoms almost always no post or one memory channel dropping out. On SFF OptiPlex and EliteDesk units this often traces to VRM capacitor ageing. Desktop PSU failures are 9 to 12 percent: OEM 200 to 260W units run hot in tight chassis and fail to hold rail voltage.

RAM issues are 6 to 8 percent. Laptop screens and hinges together are 7 to 10 percent, mostly EliteBook 840 hinge cracks and Latitude 5400 backlight strips. Batteries below 60 percent of design capacity are 8 to 11 percent on laptop claims. The remaining 5 percent is a long tail: fan bearings, USB C controllers, Wi-Fi cards.

Response times from first message to resolution

First response to a warranty message lands within 4 working hours on weekdays, within 18 hours over a weekend, written by a human. Diagnosis usually takes 1 to 2 message rounds. A prepaid tracked return label is issued the same day the diagnosis is agreed, with 2 to 4 working days of inbound transit.

Components in stock (SSDs, PSUs, RAM, common motherboards, EliteBook 840 hinges, T480 palmrests) are swapped within 24 hours of arrival. Rarer parts add 1 to 3 days. The replacement process, step by step

Packaging guidance goes in the same message, because a T480 that arrives with a cracked palmrest from bad packing turns a five day claim into a two week one.

On arrival the machine is booked in against the order number and photographed on the bench. The fault is reproduced, the failing component identified, and the fix booked against parts stock. Status updates go out when the machine lands, when the fix is confirmed, and when the return label prints.

What buyers can do to speed a claim

Keep the packaging for the first month. Most infant mortality failures land inside four weeks, and reusing the original box halves the risk of shipping damage. Be specific in the first message: model, order number, a one line fault description, and any error text. On desktops a RAM reseat resolves a small share of no post claims without a return.

How long does a Birmingham AV warranty last from the date of delivery?

Twelve months from the delivery date recorded by the courier, not the dispatch date, so a claim raised on day 364 is still in warranty. The clock does not reset on a repaired machine: a swap in month three still runs to the original twelve month mark.

Do I have to pay for return postage on a warranty claim?

No. Inbound return uses a prepaid tracked label, and outbound return of the repaired or replacement machine is also tracked and paid for by Birmingham AV. Buyers never pay carriage on a warranty claim.

What happens if the exact same model is out of stock for a replacement?

The offer is a like for like machine on equivalent or better spec (same CPU tier, same or larger RAM, same or larger SSD), or a full refund. If a Latitude 5400 i5 8365U cannot be matched, an equivalent 5410 i5 10310U is the usual substitute.

Does the warranty cover accidental damage or user error?

No. The twelve month cover is a component and workmanship warranty for hardware faults latent at dispatch or developed under normal use. Drops, spills, cracked screens, and third party modifications sit outside the cover, though a paid repair quote is available.
